User Friendly E-Procurement with Full Integration and Complete Oversight

Vejen’s procurement landscape was previously shaped by manual workflows, scattered systems and disconnected tools. With hundreds of users spread across the organisation, it became clear that a more unified and digital approach was needed.

At the same time, the municipality required a solution that could integrate smoothly with existing systems, especially the financial system ØS Prisme, and support every step from ordering and accounting to receiving goods and processing payments.

The need for better visibility into contracts, purchases and supplier relationships was growing. But the solution couldn’t add complexity for the users, quite the opposite.

High performance is great. But ultimately, it’s about user satisfaction, clarity and intuitive processes. That’s what we have today, and what we’re set to strengthen even further with Tellis® in 2023.

Intellis delivered exactly what Vejen was looking for. The Tellis® platform offers a comprehensive digital flow for e-procurement and contract management, gathering all core functionality in one place.

For Vejen, this meant seamless integration, both with their current Prisme 2009 setup and the future upgrade to Prisme 365. Data moves freely between systems, with no need for double entry.

The platform was configured with dedicated modules for contract management, catalogue control and segmented purchasing access. This allows the municipality to tailor procurement efforts while ensuring users only see the products and suppliers relevant to them.

Sustainability was also built in from the start. The system highlights greener choices in a clear and practical way, encouraging climate conscious decisions without the need for lectures or friction.

Vejen Municipality now has a clearer overview of procurement and contract processes than ever before. Tasks that used to be fragmented and time consuming are now handled through a single, streamlined platform that works across departments and roles.

With the segmentation module, the municipality can focus procurement efforts where they matter most, using resources more strategically. Sustainability data is now measurable and visible, and the entire organisation is beginning to see the value in making greener choices.

On top of that, communication around procurement has become more structured. Users know where to go and how to ask questions, which has led to smoother collaboration and stronger decision making.
